We spent the last month working with the Bellevue DS pilot team to annotate AI-generated answers using a new feedback form, then building improvements based on what we learned.
The team helped us immensely, running through testing sessions, throwing a range of questions at our Chat Assistant, and telling us how the responses held up. That feedback drove improvements to our AI systems, helping the Chat and Email Assistants better answer questions. We’re excited for you to see the results.

We rebuilt how the system searches for information. It now uses multiple search methods at once and goes beyond exact matches to find other conceptually relevant sources. It keeps better track of context in back-and-forth conversations.
We removed the pending and resolved status tracking and kept what matters:
A simple table showing what you submitted
A dedicated page for full details when you click on an item
Form and dashboard now match perfectly

Email Assistant gets an upgrade — you can add instructions before the first draft; long replies render fully; and the “clear session” control is consistent across assistants. Applies to both the web version and the Outlook plugin.
Stability & fixes — Themes charts no longer disappear, fix a GIS lookup in internal chat bug, and thumbs-down feedback text reliably shows up. We’ve also polished up some interfaces across the app.
Email Assistant: add instructions up front — set context before the first draft so responses reflect your goals from the start.
Feedback Details page refresh — clearer layout, correct metadata placement, better spacing, and a handy back button.
Email Assistant — We’ve improved the Email Assistant prompt to better respond to instructions and improve the quality of generated drafts.
Analytics/Themes — resolved an issue where charts could disappear after interaction.
Internal chat — Fixed a GIS lookup bug for accurate parcel context.
Chat feedback — text entered with a thumbs-down is now always captured and displayed.

New: quick session feedback — when you clear a chat or email session, a 1-question survey asks how useful the assistant was (1–5), with optional comments and a dismiss option.
Usage analytics upgrade — your Usage page now shows Top-2-Box % (share of 4–5 ratings) and Average score to track assistant quality at a glance.
UI polish — chat UI resized to sit cleanly with the project context panel; copy icons and spacing aligned for consistency.
Faster analytics — Thematic Analysis now loads quickly.
Outlook add-in — clearer error message with a visible support email.
Content updates — our AI reference index now includes the previously missing code sections and references codes more than website sources, improving code lookups.
What you’ll see: when you click Clear session, a small pop-up asks: “How useful was the AI assistant in accomplishing the task you were just working on?”, with a 1–5 scale, optional comments, and a Dismiss action.
Why it matters: quick feedback helps us focus improvements where they matter most.
Where it goes: results flow to your Usage page as Top-2-Box % and Average score cards.
We’ve added Top-2-Box % (share of ratings that are 4 or 5) and Average score as cards for easy scanning.
Chat assistant layout: widened/realigned so the Project Context section fits and reads better; copy icons made consistent; spacing/padding aligned.
Outlook add-in messaging: error dialog now includes a support email for faster help.
Thematic Analysis load time: resolved a performance issue that caused slow loads.

New: Bellevue GIS integration → accurate parcel context now powers address tools and our AI assistant. This is step 1 in deeper integration with Bellevue systems.
Sentiment analysis → filter conversations in the Themes page by sentiment in the right sidebar.
Smoother UI → cleaner hazard/parcel info, better address autocomplete, tidier home/email experience.
Admin quality-of-life → trigger password resets for users.
Big thanks to the Bellevue IT team for partnering on GIS and data plumbing.

What’s new: Address lookup now uses Bellevue parcel data.
Why it matters: The AI assistant has accurate parcel context (e.g., parcel ID, site address) to ground answers and reduce follow-ups.
What you’ll notice: More accurate address/parcel recognition and cleaner hazard/parcel details.
What’s next: This is the first in a planned sequence of high-value integrations with Bellevue systems. We’ll expand parcel/context usage across workflows.
Sentiment filters in Analytics/Themes – quickly filter conversations by sentiment.

In-app surveys – look for more feedback and satisfactions surveys to show up inside Permit Guide.
Admins can trigger password resets – no support handoff needed.

Address entry & selection
Better keyboard selection in the autocomplete.
Hazard/parcel display cleaned up for readability.
Chat & email assistants
Multi-line input behaves better in chat.
Email assistant page refined for clarity.
If a user doesn’t have email permissions, the home page hides the email button to reduce confusion.
General UI polish
Fixes to toggle states and small layout inconsistencies—net effect: “the UI feels smoother.”
Agent home page reliability (resolved a load issue).
Resolved 404s when routing chat + customer feedback.
Passwords – ? now accepted as a special character.
Email drop box settings API (foundational work for future admin controls).

Here are the improvements we’ve made to Permit Guide:
New look and feel: We’ve improved and simplified the UI. The navigation bar now has fewer sections and pages are grouped more intuitively together. There is also a new home page to help you navigate Permit Guide. We’ve updated the styling across all the pages and everything looks and feels more modern.

We’ve also addressed some issues with our Analytics Charts where there were too many data series or charts were unreadable. Everything is clean and back to normal now.

There is a new Email Dropbox section of Permit Guide. As we roll out the Outlook Plugin, this is where we will capture emails that have been sent with our Email Assistant to make everything transparent and auditable.

For admins, there are also settings you can configure for the Email Dropbox feature, including regenerating a BCC email address, setting a retention policy, and creating a “never log” list of email addresses that might be on sensitive email threads.
Sped up generation time by simplifying the architecture and changing the AI model
Increased accuracy and improved assistant behavior by updating the prompt with more domain knowledge and instructions

Here are the improvements we’ve made to Permit Guide:
New Email Assistant improvements: The AI generated email drafts now contain better and more granular code citations, more specific next steps, and generally are better structured and adjusted to the feedback we’ve received.

More codes and guidelines have been added: We’ve ingested more codes and guidelines, and you can now navigate and search through all the documents that our assistants can reference in the Knowledge Base page under Data Sources. In the future, we’ll build an automated pipeline to capture new and changed codes and give users control over what documents are referenced by the assistants.

Improved analytics performance: We’ve made performance improvements to the Analytics pages, where you can drill down into themes, subtopics, sentiment, and even see specific chat conversations about a given subtopic.

New Google Places Autocomplete for faster, smoother address input.
Enabled manual address entry and validation tailored to Bellevue locations.
Limited suggestions to Bellevue-only results and added a confirmation step to ensure accuracy.
User management is now easier - see user’s verification status, easier form for editing user profiles, and new drop downs and filters to better navigate the users table.
Some under-the-hood address match improvements to go along with the smarter address entry features.
